United Selections Kenya Limited is seeking applications from qualified candidates for the position of Procurement Officer.

The duty station for this position is Nakuru – Kenya

Job Description
The Procurement Officer will be responsible for the procurement of goods and services, ensuring timely deliveries, cost-efficiency, and compliance with company procedures. The officer will also work closely with stores, finance, logistics, and suppliers to coordinate purchasing activities, monitor inventory needs, and support smooth operations across departments.

Key Responsibilities:

  • Receive and review purchase requests from stores and monitor item reorder levels.
  • Request quotations from suppliers, including payment terms, and compile them for review and approval by the Operations Manager.
  • Prepare Local Purchase Orders (LPOs), update the monthly budget comparison file, and share LPOs with the CEO and Director for approval.
  • Send approved LPOs to suppliers and coordinate with logistics and suppliers to ensure timely delivery of goods to the farm or Riverside location.
  • Follow up on delivery schedules, and address issues related to damaged or incomplete deliveries.
  • Liaise with logistics to confirm which goods are ready for collection.
  • Ensure that delivery notes or goods received notes are properly attached to store invoices.
  • Follow up on missing documentation such as invoices and delivery notes.
  • Reconcile invoices against LPOs and update procurement records on Google Drive.
  • Notify the Nairobi office of suppliers requesting advance or immediate payment and prepare the necessary payment vouchers in coordination with finance for timely processing.
  • Prepare LPOs for items bought through petty cash (above KES 5,000),and prepare corresponding payment vouchers.
  • Ensure all payment vouchers are supported with valid receipts or supporting documents.
  • Perform any other duties as may be assigned by management from time to time.

Minimum Qualifications:

  • Degree or Diploma in Procurement, Supply Chain Management, or a related field.
  • CIPS or equivalent professional certification is an added advantage.
  • Minimum of 5 years’ experience in a procurement role, preferably in the horticulture or floriculture sector.
  • Proficient in QuickBooks or similar procurement/accounting software.
  • Strong negotiation, communication, and interpersonal skills.
  •  Detail-oriented, self-motivated, and able to work independently or in a team to meet deadlines.
  • Demonstrates integrity, accountability, and a proactive work ethic.
